Management Support Officer (Madagascar)

Position Overview

Based in the coastal town of Fort Dauphin in the southeast of Madagascar, this post will provide management and support across all functional aspects of the NGO, managing career entry interns and officers in communications, administration, logistics, volunteer support and supporting the day to day work of the National and International staff.

The role is office-based, works directly to the Director of Operations and programmes and the diversity of activities undertaken will provide a wide ranging experience for an early career professional looking for a first management position in the complex world of overseas development work.

Title: Management Support Officer

Location: Fort Dauphin, Anosy Region, Madagascar

Timeframe: 12 months extendable

Contract: Local stipend

Reporting to: Director of Programmes and Operations

Duties and responsibilities

  • Managing International interns and Officers working for the support functions of the NGO
  • Managing the workload of the support team, ensuring appropriate training and support to enable them to produce work to a high standard
  • Overseeing the support to incoming long term volunteers, managing logistics from point of acceptance until arrival
  • Supporting the Volunteering Department on the management and logistics for short term volunteers
  • Overseeing the social media, newsletter and website information for the organisations on line presence
  • Supporting the work of the Project Development Department when required including the management of information and deadlines and proof reading of reports to donors
  • Assisting the Director of Operations in all of their day-to-day administration and HR related work
  • Working with the Director of Operations and Programmes in developing administrative systems and procedures across the NGO
  • Overseeing the construction, maintenance, and management of equipment inventories and logs
  • Support in coordinating seasonal fundraising appeals
  • Overseeing the advertisement of new jobs and volunteering opportunities with SEED
  • Basic IT support and web support
  • Writing minutes of a range of management meetings and assisting the NGO staff with notes when required
  • Supporting ad hoc and informal capacity building across both National and International teams
  • Overseeing policy, procedure and project research and development

Person specification:

  • Be able to demonstrate a passion for the work of the organisation and experience relevant to the post Be able to work independently and achieve deadlines over a wide range of tasks
  • Be able to show experience of, or an ability to, manage and motivate a team
  • Communicate clearly and engagingly in written English across a range of media forms
  • To have an excellent level of written English and be able to proof read documents to a high standard
  • To have a curious mind and a patient, problem solving attitude
  • Be capable and comfortable adapting to life in a least developed country with sometimes basic living conditions
  • Be able to work and socialise within a small group of people and to be respectful and take personal responsibility for maintaining the good reputation for the NGO in the community
  • Be able to adjust to life in another culture and a foreign language and be able to work at all times with cultural sensitivity
  • Have passion, curiosity and motivation for the job and the ability to enthuse others
  • Have the ability and desire to work with teams from different economic and cultural backgrounds and across multiple language barriers
  • Have the ability and desire to build capacity and share skills across cultures
  • Demonstrate proven ability to recognise and appropriately deal with challenging situations.
  • Demonstrate an awareness of and comfort with increased social and professional responsibility, working at all times with cultural sensitivity and respect
  • Have a flexible and patient attitude
  • Have good all round computing skills and experience in a range of software packages
