QUE FAISONS NOUS …
Solidarités International est une association humanitaire qui intervient auprès des populations vulnérables, essentiellement victimes de conflits armés et de catastrophes naturelles. Spécialisée depuis plus de 37 ans dans la couverture des besoins vitaux, elle prend en charge des programmes d’urgence puis de reconstruction.
Dans le respect des cultures et au plus près des populations, Solidarités International met en œuvre ses programmes en unissant ses compétences à celles des employés et des cadres locaux. Les équipes de Solidarités International, composées d’environ 220 expatriés et de près de 1800 employés locaux, sont aujourd’hui présentes en Asie, Moyen Orient, Afrique et Caraïbes où elles sont particulièrement engagées dans le combat contre les maladies liées à l’eau insalubre, première cause de mortalité au monde, mais également dans le domaine essentiel de la sécurité alimentaire et des moyens d’existence.
DESCRIPTIF DU POSTE
The internship will take place within the Emergency Desk, as part of the direction of operations (20-30 persons – also including 4 geographical desks and a technical department).
The Emergency Desk is in charge of conducting exploratory and assessment missions, along with the opening of new interventions in emergency contexts.
The Emergency Desk assistant will work under the direct supervision of the Emergency Desk financial manager and the Emergency Desk program manager, with an ad hoc supervision from other collaborators.
Outcomes of the internship:
- Discover how the Headquarters of a NGO works, and understand the relationship between the Field and the Headquarters;
- Discover the different professions on the field;
- Have a first approach on the functioning of a mission and its specific constraints;
- Understand the relationships between the different humanitarian actors;
- To be conversant with the donors’ requirements;
- Put in practice the project cycle management;
- Direct contact with the Field through the expatriates;
- Discover the strategy of an NGO.
Main objectives of the internship:
- To assist the Financial and the Logistics focal point in the execution of necessary administrative tasks;
- To assist the Program Manager in the operational and donors-related compliance monitoring of projects implemented on the field;
- To assist the Desk Manager in the follow-up of monthly annexes
- To contribute to the briefing of departing expatriates
- To ensure a proper archiving and centralization of all contractual, administrative and compliance-related data
- To facilitate the liaison with several internal interlocutors (headquarters – missions or between several departments at HQ)
- To contribute to the desk structuring and strategic projects
Duties:
PROGRAMS
- Updating the follow up tools: organizational charts, contacts lists, Annexes 1, TAF, reporting follow-up
- Under the supervision of the Desk Program Manager, ensuring the follow up of the missions and treating all the contractual or administrative requests coming from the missions
- Participating to the review of the reports: logical framework, correction, archiving, and sending. Developing a critical eye and making suggestions are a must;
- Ensuring the deadline monitoring of several programs (intermediate reports, final reports, extension, etc.)
- Archiving program documents (paper and electronic)
ACCOUNTING
- Support the finance manager in all missions-related accountancy tasks
- Check the analytical and accounting allocations for all missions
- Check missions’ expenses allocation board and their allotment between institutional donors
- Assist missions’ administrative and financial coordinators in:
- The analytical allocation HQ produced invoices for missions purposes
- The analytical allocation of salaries/indemnities, insurance fees, flight tickets and other travel expenses of the expatriates
- Contribute to the core funds and desk expenses follow-up
- Contribute to the accounting year end and mid-year reporting
- Input accounting software like SAGA (mission) and TOTEM (HQ)
FINANCIAL MANAGEMENT
- Support missions : daily management of administrators’ queries
- Contribute to the missions’ budget follow-up check
- Contribute to the budgetary check of proposals to donors.
- Contribute to the validation of the missions’ interim and final budgetary reports to donors
- Assist in the preparation of financial audits
- Contribute to the validation of cashflow forecasts
LOGISTICS
- Check missions’ and HQ’s procurement folders (order forms, quotations and analysis, contracts, …) and their consistence with SI’s procurement rules
- Contribute to the compilation of final reports’ logistics documents and annexes (equipment inventories, compliance with donor’s rules, logistics and financial data matching, …)
- Archive soft and hard processed files
- Contribute to the check of the monthly logistical pack (inventory, fuel follow-up, IOF follow-up,…)
GENERAL
- Contribute to the weekly and monthly meetings (desk, accounting, logistics and HQ services)
- Contribute to misc ongoing projects, as per required by the desk collaborators
- Participating in the expatriates briefings;
- Acting financial manager during his/her absence
VOTRE PROFIL
- Master degree in development, international relations, business or financial management, political sciences, project management, WaSH or agronomy studies
- Accounting and financial training is not essential, but a facility with numbers and a strong willingness to learn about these areas is required
- Strong written and spoken English, bilingual is a must.
- Excellent working knowledge of Microsoft Office, and especially of Excel, and online research tools
- Excellent analytical and writing skills
- Great capacity of synthesis
- Proactive and critical mind
- Ability to organize and plan effectively;
- Interpersonal skills and diplomacy
- Ability to work under stress

SI VOUS OFFRIRA LES CONDITIONS SUIVANTES
Stagiaire avec convention de stage obligatoire.
Gratification légale de 15% du plafond horaire de la sécurité sociale en vigueur.
La gratification est calculée au prorata des heures de présence réelles sur le mois. (En moyenne 1 mois = 154h, soit 22 jours de 7h/jour)
Transport en commun pris en charge à 50% par SOLIDARITES INTERNATIONAL
Tickets restaurant à 7 € / jour effectif de stage, avec participation de SOLIDARITES INTERNATIONAL à 60 %
